Rahab Wairimu

Virtual Assistant · Executive support, outreach and event coordination

I keep the day running for coaches, consultants and founders: the inbox, the calendar, the follow-ups and the events behind them. Over two years I have supported a SaaS partnerships consultancy, an early-stage business and an app for women with ADHD, so I am used to people who need structure without supervision.

Quiet, organised support that keeps things moving between your check-ins.

01The story

About Rahab Wairimu

I came into virtual assistance through an ICT certificate at Kiambu Institute of Science and Technology and an internship at Githunguri Dairy Farmers Co-operative, where I handled data entry, event coordination and community feedback and became properly fluent in Excel. In 2024 I completed the ALX Africa Virtual Assistant Programme, which is where the remote work habits I rely on now were set.

From April 2024 to January 2026 I was a sub-contractor with Cinna Mon Consulting, a consultancy focused on SaaS partner strategies. I managed the consultants' calendars and inboxes, prepared partner-facing documents, ran the logistics for webinars, virtual workshops and client presentations, and researched industries and competitors for partner recruitment. I also built the internal reports and dashboards in Google Sheets and Slides that summarised partner performance, and formatted pitch decks and proofread outreach emails.

Since December 2025 I have supported EYC with administration, outreach and business development. That has meant building social media outreach systems to bring in qualified leads and subscribers, researching brand partnership opportunities, managing outreach follow-ups and relationship tracking, coordinating events and marketing, and keeping the workflows, timelines and launch tasks of an early-stage business organised.

Through my work with Muna, an app for women with ADHD and PMDD, I have worked in the neurodivergent space and learned what patient, flexible support looks like in practice: clear communication, consistent follow-ups, and a structure that adapts to how a person actually works rather than how a template says they should. I am proactive about naming the next step and following it through, so you are not managing me line by line.

Day to day I work in Google Workspace and Microsoft Office, run tasks in Trello, ClickUp and Asana, coordinate events on Eventbrite and Luma, send campaigns through Mailchimp and Customer.io, and make website updates on Squarespace. New tools do not slow me down: I learn them quickly and fit into the way you already work.

03Capabilities in detail

Everything Rahab can take off your plate

The full portfolio, one capability at a time, with the tools Rahab uses for each.

1Inbox management

I filter enquiries, reply to what I can and flag what needs you, so the inbox stays at a size you can face. At Cinna Mon Consulting I kept communication moving between internal consultants and external partners without anything going cold.

2Calendar and scheduling

I manage calendars, schedule meetings across time zones and protect the focus time you ask for. I send the agenda and the joining details ahead, and I reschedule quietly when plans change.

4Partner and brand outreach

I research partnership opportunities that fit a client's goals and audience, then run the outreach, the follow-ups and the relationship tracking. At EYC I built the social media outreach systems that bring in qualified leads and subscribers.

5Email campaign coordination

I coordinate campaigns and subscriber communications in Mailchimp and Customer.io: the schedule, the drafts, the proofreading and the send. I have not used MailerLite yet, but the work is the same and I would be at speed within a week.

6Research and competitor analysis

I do the industry research and competitor analysis that sits behind partner recruitment and sales enablement, and I keep the findings in organised, searchable records. At Cinna Mon this fed directly into the partner strategy the consultants presented.

7Reports and dashboards

I build internal reports and dashboards in Google Sheets and Slides that summarise performance and engagement so a weekly review takes minutes. I learned the discipline in Excel at Githunguri Dairy and have used it on every engagement since.

8Documents, decks and website edits

I prepare partner-facing documents, format pitch decks, proofread outreach copy and keep digital resources organised in Drive. I also make edits and updates to Squarespace sites and schedule social media content.
