Virtual assistants who
build with AI, not just use it.
Our VAs have shipped CRM automations, content engines, client dashboards and full apps with AI at their side. You get a person who owns the outcome and the systems that make one person do the work of three.

AI doesn’t replace your VA. It makes them a builder.
Most virtual assistants still work one browser tab at a time. Ours build the system, then run it. They wire a CRM to an automation engine, train a conversation assistant on your material, stand up a dashboard your team actually opens, and set a content pipeline going that fills a week of social from one input.
You get the judgement of a senior professional and the throughput of a small team, for the price of one assistant.
An AI-fluent VA doesn’t just finish the task. They ask why it is manual, and build the version that runs itself.
- Writes each social post from scratch
- Types up meeting notes by hand
- Copies leads into a spreadsheet one by one
- Sends every follow-up manually
- Builds the weekly report from screenshots
- Runs a content pipeline, edits the output, publishes
- Records the call; the summary and task list arrive by email
- Research agents fill a queue; the VA personalises and sends
- Drips run on triggers; the VA handles the replies
- The dashboard updates itself; the VA writes the one-page note

SchedulingWhat an AI-fluent VA actually does in a week
Six workflows our assistants run for clients today, drawn as they happen. The AI does the volume; the VA does the judgement.

A weekly content engine
One input on Monday becomes a full week of on-brand social. The AI drafts and designs; your VA edits, checks the voice and publishes.
Input1Your VA drops a few product photos from Google Drive, or a competitor's Instagram post, into the intake form. That is the only manual input.
AI does2An n8n pipeline sends it to Gemini for images and Claude for captions, then lays out the posts and a carousel in Canva, in your brand colours.
VA checks3Your VA reads every caption, fixes tone and facts, and swaps any image that misses. Nothing is published on AI alone.
Result4Five posts, a carousel and a short video, scheduled across Instagram, Facebook, LinkedIn, TikTok and YouTube for the week.

Social listening and analytics
Every week your channels, mentions and competitors are collected and scored automatically. Your VA turns the numbers into one page of what to do.
Input1Every Monday an Apify job pulls your posts, mentions and comments, and your competitors', from six platforms into one Google Sheet.
AI does2Claude scores each mention positive, neutral or negative and tags the topic, so hundreds of comments become a handful of themes.
AI does3Spikes, drops and unusual mentions are flagged on a live dashboard your team can open any time.
Result4Your VA writes a one-page note: what moved, why, and the three things to do this week.

Meeting minutes that become task lists
Record the call and get on with your day. The summary, with tasks, owners and due dates, is in your inbox before you are back at your desk.
Input1Record the call in Zoom or Google Meet. The recording lands in a shared Drive folder and the workflow picks it up.
AI does2Whisper turns the audio into a clean transcript, speakers separated and filler removed.
AI does3Claude pulls out decisions, tasks, owners and due dates, and drops the small talk.
Result4Your VA checks names and dates, then the Word summary is in your inbox just over ten minutes after you hang up.

Lead research and reply triage
Research agents find and qualify the right people. Your VA sends every message personally, and the replies are sorted so the warm ones come first.
AI does1A scheduled Apify job searches LinkedIn and the web for people who match your ideal client, and Claude qualifies each one against your criteria.
AI does2Every qualified profile gets a personalised opening line, drafted by Claude, and lands in a daily queue in your CRM.
VA checks3Your VA reads each profile, edits the message and sends it by hand from your account. No mass sends, no bots.
Result4Replies are sorted warm, later and no, so your VA works the warm ones first and books the calls.

Candidate screening and scheduling
From a pile of applications to a ranked shortlist with interviews booked across time zones, without you reading a single CV twice.
Input1Applications arrive by email or form, and the CVs collect in one folder with the job criteria alongside.
AI does2Claude scores every candidate against your weighted criteria and writes a two-line reason for each score.
VA checks3Your VA reviews the ranking, removes any false positives, and books interviews across time zones through Calendly.
Result4A shortlist of five, each with the reasons why, and the interviews already on your calendar.

Voice to brief, and documents on demand
Answer a few questions out loud. Minutes later a structured, branded brief arrives by email. The same VA produces decks, contracts and profiles the same way.
Input1You answer five questions out loud as a WhatsApp voice note, on the way to your next meeting.
AI does2Whisper transcribes it and Claude structures the answers into a brief with clear sections: goal, audience, scope, deadline.
AI does3The brief is laid out as a branded PDF with your logo and colours.
Result4It arrives in your inbox within four minutes. The same flow produces decks, contracts and profiles.
Not demos. Systems clients run every day.
Four of the larger builds our VAs have delivered with AI, anonymised. Each one started as a conversation with a founder who was doing this by hand.

A complete marketing and CRM system
A 36-page site wrapped inside the CRM, six ad landing pages with attribution, a 4,800-contact SMS import with state-level compliance exclusions, six-stage SMS and email workflows gated by an AI negative-intent check, and a conversation assistant trained on the client’s own four books that books calendar slots and runs a five-day follow-up.

Course enrolment and trial funnels that run themselves
Enrolment triggers a welcome email, a record in the client’s sheet and a day 7, 14 and 21 reminder drip; completion sends follow-ups matched to the call-to-action the learner chose. For a membership trial, AI crawls each applicant’s website and returns PASS, REVIEW or DECLINE before the welcome sequence and a 28-day drip begin.

A video production line at a fraction of vendor cost
Script to AI narration to visuals to rendered MP4, with an AI quality pass on every clip. Calculator-explainer videos with word-synced captions, ad cuts from client footage and a self-hosted lesson-video pipeline that replaced a $2-per-minute vendor at roughly $0.34 a video.

Dashboards and internal apps built to order
A 23-widget sales dashboard embedded in a solar company’s CRM with a finances page fed from Sheets. A 270-event industry directory with map, grid and calendar views, member directory and referrals, refreshed nightly by an AI job that checks dates and deadlines. And our own time-tracking-to-invoicing platform, built the same way.
The AI multiplier, in our own numbers.
Four before-and-afters from work our VAs have delivered. Same hourly rate on both sides of the arrow.

How we build AI-fluent professionals.
Six weeks before a VA is matched with a client, and the last step is not a quiz. It is a real system, built on a real account, signed off by a team lead.

Top 5% get through- 01

01AI foundations
Weeks 1 to 2Prompting, evaluating and editing AI output to a professional standard, and learning when a task should not touch AI at all.
Output: A graded portfolio of edited AI work - 02

02Tool mastery
Weeks 3 to 5Hands-on work in the stack our clients run on: CRM and funnels, workflow automation, Sheets as a database, transcription and video tools.
Output: Working accounts in every core tool - 03

03Build one real system
Week 6Every trainee ships a working automation or dashboard on a live account and walks a team lead through it, end to end.
Output: One live automation, reviewed and signed off - 04

04Matched and mentored
OngoingPlaced with a client in their sector and paired with a senior VA for the first month. Monthly refreshers as the tools change.
Output: First client, first month, supervised
Fast because of AI. Safe because of people.
The speed comes from the tools. The judgement, the accountability and the confidentiality come from a university-educated professional who owns the work. Three rules we work by.

A person signs off on everything
AI drafts, classifies and researches. Your VA reviews, edits and sends.

Your data stays yours
Every assistant signs an NDA before day one. AI tools run under your accounts or ours, never a personal login.

Only methods that hold up
Official APIs and platform-approved automation. No scraping behind logins, no bots impersonating you.

“Every automation we build for you is documented and handed over. If we stop working together, the systems are still yours and still running.”
AI-fluent isn’t a buzzword. It’s your edge.

Every system keeps working after it is built.
A drip, a listening job or a dashboard your VA sets up in week one keeps running in month twelve. The hours you pay for build assets; the assets keep paying you back.

A week of content in a morning.
Pipelines draft, image and lay out. Your VA edits and approves. What used to take days of manual work is a review session.

AI drafts. A professional signs off.
Nothing goes out on AI alone. A university-educated VA reads, corrects and applies your brand voice to every piece.

Same rate. Systems included.
You pay $8 to $15 an hour for the VA. The automations they build for you are part of the job, not a separate invoice.
