The client

Powersmith Solar is a veteran-owned renewable energy company in San Diego. It designs and installs solar panel systems, battery storage and EV charging for homes and businesses across Southern California. Anthony Olivarez co-founded the company and runs it as President, which in a solar business means sales, installs, finance, marketing and recruitment all land on the same desk.

The challenge

Solar is a volume business with a long tail of admin behind every sale. Leads come in from ads and referrals; each one needs a proposal, a site survey, financing paperwork, permits, an install date and a string of follow-ups, and the sales team needs to know where every deal stands. On top of that sits the work every growing company needs and few founders have time for: a steady presence on social media, a blog and a newsletter, and a pipeline of new installers and sales reps to hire.

Anthony did not need one more assistant for one task. He needed an operational layer that could take executive support, marketing and the backend of the sales process off his team, and keep it running week after week.

What Virtual Wise runs

For three years Kelvin Njoroge and the Virtual Wise team have been that layer. The engagement has four parts, and each one grew out of the one before it.

  1. Executive support
    Inbox, calendar and follow-ups for Anthony and the leadership team, in Google Workspace. Meetings prepared, decisions chased, nothing waiting in a thread for a week.
  2. Sales operations and CRM
    The sales pipeline lives in GoHighLevel, which the team set up and runs: lead intake, stages, tasks, automated follow-up sequences and the reporting the sales team works from. Proposals and solar-specific workflows run through Sunbase, the industry CRM, and the two are kept in step so a deal is never typed twice. The company website, built on WordPress with Elementor, is maintained by the same team.
  3. An AI content engine
    Social posts, blog articles and the customer newsletter are produced by an orchestration the team built in n8n with Claudeas the writing model. A brief or a set of photos goes in; drafts in Powersmith's voice come out, on a schedule, with a Virtual Wise assistant reviewing and publishing each one. The point is not that AI writes the posts. It is that a person who knows the business checks every one, and the machinery means that person can keep three channels fed without it becoming a full-time job.
  4. Dashboards and AI video
    Sales and financial metrics are pulled into dashboards the team built and hosts on Vercel, with Supabase as the data layer, so the numbers Anthony needs are a bookmark away rather than a spreadsheet request. For marketing, recruitment and social media, the team produces video with Higgsfield and HeyGen: product and offer explainers, “we are hiring” pieces for installers and sales reps, and short social clips, made without a film crew and turned around in days.

How the work is organised

Kelvin leads the account and is Anthony's single point of contact. Behind him sits a small team covering executive support, CRM and marketing, with the AI and automation builds done in-house at Virtual Wise. Work is tracked in GoHighLevel and Google Workspace, and the dashboards double as the weekly check-in: if a number has moved, the conversation starts there.

Because the same team has run the operation for three years, the tooling has compounded. The CRM setup came first; the content engine was built on top of the contact and campaign data already in it; the dashboards read from the same sources; and the AI video work reuses the brand assets and messaging the content engine already holds.
